Color Code your Calendar Items for a visual display of how busy you are.

In response to my tip Manage your time by scheduling everything you do, I received the following great idea from an incredibly creative, successful architect client of mine: John DeForest of DeForest Architects:

I'm a big fan of color-coding calendar items that help me graphically see the balance of my week and month. Outlook allows you to set up shortcuts to designate a color and category:

  • Personal (green)
  • work time (periods to concentrate on a particular project) (dark blue)
  • coordination time (meeting with staff, consultants) (light blue)
  • client meetings (red)
  • marketing (orange)

Using color-coding this way gives me a quick visual read of the week — too many reds means a week packed with client meetings.
